
The Hive Privacy Policy
The Hive is a recruiting and scouting workflow application. This Privacy Policy explains what information we collect, how we use it, and how SMS and AI-supported note processing fit into the service.
Information We Collect
- Account information such as your name, role title, email address, password credentials managed through our authentication provider, and mobile phone number.
- Recruiting workflow information you submit or receive through the app, including player notes, contact details, representation details, NIL context, and related recruiting updates.
- Inbound communication data sent to the service by email or SMS, including sender and recipient metadata, message content, timestamps, and processing status.
- Technical and usage information such as log data, device/browser data, IP-based security data, and service diagnostics generated when you use the app.
How We Use Information
- Provide access to the recruiting workspace, authenticate users, and manage user profiles and permissions.
- Store, organize, and display recruiting notes, player contact records, shared NIL context, and related workflow data.
- Process inbound emails and text messages so the system can identify the relevant player, extract structured details, request clarifying information when needed, and save data into the player workflow.
- Operate, secure, monitor, troubleshoot, and improve the service.
SMS and Email Intake
If you use the SMS intake number or an inbound email address connected to the service, the message you send may be processed automatically to extract player-related recruiting information. Message frequency varies based on your usage. Message and data rates may apply through your mobile carrier.
SMS intake is only enabled for mobile numbers that are on file in the app and verified for the relevant account. Users can opt out of SMS replies by replying STOP and can request help by replying HELP.
AI-Assisted Processing
Inbound note processing may use OpenAI services to extract structured recruiting information from email and SMS content. This can include player identity clues, contact details, representation details, and NIL-related information. AI-generated outputs may be inaccurate or incomplete, so users should review important recruiting information before relying on it.
How We Share Information
We do not sell personal information. We share information only as needed to operate the service, including with infrastructure, authentication, messaging, and AI providers that process data on our behalf.
- Authentication services provided through Supabase.
- Hosting and deployment infrastructure provided through Vercel.
- SMS delivery and inbound messaging processing provided through Telnyx.
- AI-assisted extraction and structured processing provided through OpenAI.
Data Retention
We retain account information, recruiting records, and inbound communication logs for as long as needed to operate the service, maintain account history, comply with legal obligations, resolve disputes, and enforce our terms. We may delete or anonymize information when it is no longer needed for those purposes.
Your Choices
- You can update your profile information, including your mobile number, from the Profile page.
- You can stop receiving SMS messages by replying STOP.
- You can contact us to request account help or ask questions about your information.
Security
We use administrative, technical, and organizational measures designed to protect the information stored in the service. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the Last Updated date above. Your continued use of the service after an update means the updated policy will apply going forward.
